Assistant to General Manager

Description of tasks

Administrative support

–    Prepare reports and send memos
–    Update and send periodic reports to the teams (weekly, bi-weekly, monthly, quarterly)
–    Plan and schedule team meetings
–    Attend meetings and send out meeting minutes
–    Prepare different documents and required materials for the teams
–    Order and maintain office supplies
–    Make travel arrangements
–    Handle, maintain, collect and update customer databases

Communication Role

–    Communicate effectively with all team members
–    Maintain collaborating relationships with company's staff

Others

–    Handle marketing material list and keep it up to date
–    Arrange distribution of marketing materials (catalogues, POSM, give aways etc.)
–    Support events such as conferences, seminars, receptions, product launches and exhibitions
–    Update monthly budgets
–    Manage copy of contracts / quotations
–    Process payments following contracts and administrational paperwork (Taxi claims and others)

Job Requirements

–    University degree
–    At least 3 years working experience
–    Excellent written and oral communication skills
–    Good communication in English
–    Interpersonal and intercultural competences
–    Professional appearance and presentation skills
–    Sharp, dynamic, collaboration
